Secure Document Policy

Secure Document Policy

Effective Date: September 2, 2026 | Last Updated: September 2, 2026

Purpose

LifelineFlow recognizes that customers may provide highly sensitive documents. This policy describes our intended practices for receiving, accessing, storing, sharing, retaining, and disposing of customer documents.

Types of Documents

Documents may include tax records, Social Security information, passports, driver licenses, immigration records, bank documents, income records, court documents, business records, identification, and other supporting materials.

Secure Submission

Customers should use LifelineFlow's designated secure upload system whenever available. Avoid sending highly sensitive documents through unsecured channels unless specifically instructed and appropriate safeguards are available.

Access Controls

Access to customer documents is limited to authorized personnel, contractors, or service providers who reasonably require access for approved business functions.

Storage

Documents may be stored in appropriate business systems, secure cloud services, tax software, or document-management platforms. Safeguards are selected based on the nature of the information and service.

Permitted Sharing

We may share documents when reasonably necessary to complete an authorized service, work with approved providers, submit information at your direction, comply with law, respond to valid legal requests, or protect against fraud and security threats.

Customer Responsibilities

Customers should upload only necessary documents, verify the correct portal, protect passwords, avoid including passwords with uploaded documents, use secure devices and networks where possible, and promptly report suspected unauthorized access.

Retention and Disposal

When records are no longer required, LifelineFlow may securely delete, destroy, archive, or otherwise dispose of them in accordance with applicable legal, tax, regulatory, contractual, and business requirements.

Security Incidents

Suspected unauthorized access to customer documents should be reported promptly to info@lifelineflow.com. We will investigate and take reasonable responsive measures.
